How to Handle Difficult Clients w/ Eric Kelley

The Level Up Podcast

Disappointment is part of running a wedding photography or filmmaking business. No matter how experienced you are, there will be moments where a client is frustrated, expectations get crossed, or something doesn’t go according to plan.

The good news? Those moments don’t have to define your business.

In this episode of The Level Up Podcast, Kelley sits down with destination wedding photographer Eric Kelley to have an honest conversation about something we rarely talk about: how to handle difficult client situations with confidence, professionalism, and empathy.

We dive into how to set better expectations from the very beginning, communicate proactively throughout the client experience, respond without letting emotions take over, and turn disappointing situations into opportunities to build even more trust.

Can we be honest for a second?

Every wedding photographer and filmmaker is going to disappoint a client at some point.

Maybe it’s a miscommunication. Maybe a timeline gets delayed. Maybe expectations weren’t as clear as they should have been. Whatever it is, it happens to all of us. The goal isn’t to build a business where nothing ever goes wrong. The goal is to build one where people still trust you when it does.

One thing we’ve learned after years in this industry is that your client experience isn’t defined by your highlight film or your gallery. It’s defined by how you make people feel throughout the entire process.

The photographers and filmmakers who build incredible reputations aren’t necessarily the ones who never make mistakes. They’re the ones who communicate well, own their mistakes when they need to, and are always looking for ways to improve.

That’s one of the biggest takeaways from this conversation.

Every difficult email, every awkward conversation, and every piece of constructive feedback is an opportunity to get better. Instead of taking it personally, ask yourself, “What can I learn from this?” Sometimes it’s a small tweak to your communication. Sometimes it’s setting expectations earlier. Sometimes it’s simply slowing down before firing off a response you’ll regret later.

Those little adjustments add up.

Over time, they create a client experience that feels thoughtful, professional, and trustworthy. That’s what leads to stronger referrals, happier clients, and a business that continues to grow year after year.

If you’re working toward a luxury market, this matters even more. Luxury isn’t just beautiful work. It’s making your clients feel cared for at every stage of the experience.

If you’re ready to create a business that attracts better clients, earns more referrals, and gives couples an experience they’ll rave about long after the wedding day, we’d love to help.
